Expenses under control thanks to AIP Purchasing Workflow

In 2016, Haulotte Group, one of the world’s leaders in people and load lifting equipment, implemented the purchasing workflow module of Authentic’s AIP solution. Deployed on 3 continents and used by 520 users, the AIP solution is now fully satisfactory for the group. Frédéric Beickert, who supervised the implementation and deployment of AIP, looks back at the challenges and the benefits.

What were the context and challenges of your project?

The will of Haulotte Group’s General Management was very clear: the implementation of a digital workflow solution in the purchasing process was to allow us to reduce paper and supplier disputes.

We wanted to centralize all of the company’s expense commitment requests and integrate them into a system with a validation workflow taking into account the Group’s delegation rules. The objective was to eliminate out-of-system expense commitments with an easy-to-use software that could be used on mobile devices.

What motivated your choice of the AIP Purchasing Workflow solution?

In competition with of four other solutions, we chose the AIP solution for its functional coverage, its ease of use and its perfect integration with our Infor M3 ERP. In addition, its price was really competitive, which definitely tipped the scales in its favor.

How did implementation and roll out go ?

The implementation of AIP Purchasing Workflow on a first site in France lasted two and a half months. Following this, we deployed the solution on 4 other sites in France as well as in Romania, China and the United States. We were perfectly autonomous during the roll out phase which lasted less than 2 months. We entrusted Authentic with the writing of the operating procedures for the end-users and this allowed us to save a lot of time.

Today, how would you assess the use of AIP Purchasing Workflow within Haulotte Group and your collaboration with Authentic?

We are very satisfied with the solution. It allows us to have a better control of expenses (securing the expense commitment process, eliminating out-of-control purchases, reducing the administrative management time of an expense commitment request from its creation to its invoicing) as well as a better budgetary control (management and control of expense budgets in real time).

If we have a question, an evolution request or a problem to submit to Authentic, we use the myCOD portal. The support and the post-launch follow-up are well managed and we appreciate this way of working and the relationship we have with Authentic.
